The Meeting and Travel Coordinator is responsible for providing meeting planning support to the Board of Directors, Executive Office and Shared Services. In addition, this position will provide meeting planning support to include managing meeting budgets, recommending locations, and negotiating with various vendors such as hotels and airlines.

Essential Functions

*

Coordinate and execute meeting arrangements for Ameritas Mutual Holding Company and Ameritas NY Board of Directors as well as the Ameritas Executive department. Executive department planning includes offsite senior management meetings or special events.

Coordinate and execute meeting arrangements for shared service departments of Ameritas, this includes, 20+ year associate anniversary celebrations, all associate celebrations and other large ad-hoc meetings and events sponsored by shared service leaders, including the executive office

Complete expense summaries after each meeting and ensure proper accounting of expenses occurs
*

Manage and organize meeting arrangements for various meeting

*

Ensure technology systems for sourcing, registration, and mobile applications are made available for each meeting, conference and/or event.
*

Collaborate with accounting to ensure that all travel expenses are within the company travel and expense policies.
*

Ensure timely travel support with primary focus on financial management and risk management
*

Other duties as assigned

Qualifications

*

Bachelor's degree in business or related field preferred
*

Five or more years in hospitality, travel or related field as well as experience working with executive officers

*

Excellent organizational and planning capabilities
*

Excellent written and oral communication skills
*

Certified Meeting Professional (CMP) designation preferred or other industry designations.
*

Proficiency in a global distribution system
*

Knowledge of travel industry, meeting planning and multi-media (A/V) functions required in conducting business meetings
*

Must be able to work in a fast paced, high stress, multi-tasking environment
