Administrative Assistant


Executive-level Administrative Assistant to join our fun and exciting Risk & Compliance team. We seek someone who is interactive and has a high degree of attention on projects and tasks relating to Calendar Management, Meeting Preparation, Travel and Expenses, as well as Administrative Reporting.

We seek a detailed-orientated, adaptable individual who is creative and enjoys working on a team with high impact focusing on overall Company functionality. This position will support the Chief Risk & Compliance Officer (CRO) by providing organizational support in a one-on-one (1:1) working relationship and instructed support to a team of Direct Reports and department as requested. This Administrative Assistant serves as the primary contact point for internal and external business partners.

Essential Job Functions

* Proactively maintains the CRO's schedule, while seeking opportunities to maximize CRO's time
* Weekly alignment meetings with a forward-looking approach, covering a month-ahead glance
* Routine scheduling of various enterprise risk and compliance meetings -- annually and quarterly
* Seeking out and resolving potential conflicts to maintain schedule clarity
* Maintaining requests/preparation for agendas and materials 48 hours in advance
* Routine status meetings to ensure appropriate agendas and follow-up materials
* Assist in tracking deadlines for regulatory, board, and internal reporting requirements
* Assists in preparation, proofreading and editing of board level reports
* Take notes in meetings as requested and send recaps/action items to those in attendance and manage follow up of action items
* Compiles agenda topics and prepares and distributes agendas for various meetings
* Assists in development and preparation of routine and ad-hoc presentations
* Ensuring facilities and/or room setup with accompanying technology
* Ensuring appropriate meeting follow-up is formatted and distributed
* Complete monthly expense report for CRO and direct reports
* Special projects as assigned by CRO
* Prepares, distributes and compiles various surveys conducted by the department
* Plans and execute special events for the risk and compliance team including catering orders
* Leads and completes special projects, as time permits, as assigned by department officers.
* Assists in expense reporting, processing invoices, completing purchase orders
* Assist in monthly budget reviews and the annual department budgeting and planning process


* Minimum 3 years in administrative support positions of increasing responsibility
* High School Diploma or GED required with preference to related post-secondary education or bachelor's degree
* Able to interact within all levels of the business and must maintain high levels of confidentiality
* Strong relationship/interpersonal skills are essential, including exceptional written and verbal communication skills
* Exceptional organization skills necessary, with a detailed oriented focus
* Advanced technical expertise in various windows applications including Microsoft Office (Excel, Word, PowerPoint) and Adobe Professional
